A Practical WordPress Security Checklist for Small Organizations

Reduce website risk with maintained software, verified backups, layered protection, and a clear response plan.

A website can be a brochure, a fundraising channel, a client intake point, or a core part of daily revenue. Whatever its role, treating security as a one-time setup leaves the organization exposed as software, staff, and threats change.

In our conversation with website developer and security specialist Kevin McLeod, we discussed the risks around WordPress and the practical controls that reduce them. Here is an evergreen checklist for business and nonprofit leaders.

Begin with the organization’s actual risk

Security decisions should reflect what the website does and what an outage or breach would affect. A simple informational site and a busy site collecting sensitive enquiries do not carry the same consequences.

Document the information the site receives, the systems it connects to, the people who administer it, and the operational cost of downtime. This helps the organization choose appropriate monitoring, backup history, support coverage, and testing instead of buying controls without a clear purpose.

Website attacks are often automated and opportunistic. An attacker may try to add unauthorized content or links, redirect visitors, capture information, consume resources, or take the site offline. A small organization may not be selected personally; an outdated component can be enough to make it a target.

Maintain every component

WordPress security depends on more than the core application. Themes, plugins, hosting software, and integrations all need attention.

  • Apply supported security updates promptly
  • Remove plugins, themes, and accounts that are no longer needed
  • Replace components that are abandoned or cannot be updated safely
  • Test important changes before applying them to the live site
  • Confirm the site still works after maintenance

Fewer components mean fewer dependencies to monitor. Install an extension because it solves a documented need, not simply because it is available.

Strengthen access

Administrative access deserves stronger protection than an ordinary website account. Use a unique username, a long unique password stored in an approved password manager, and multi-factor authentication wherever it is available.

Give each person an individual account with only the permissions their role requires. Remove access promptly when responsibilities change, and avoid sharing administrator credentials among employees or vendors. This improves both security and accountability.

Use encrypted connections for the public website and administrative access. If the site accepts forms, confirm how submissions are protected, delivered, retained, and deleted; encryption in transit is only one part of handling that information responsibly.

Keep backups separate and prove they work

A backup is valuable only if it is complete, protected, and restorable. Keep copies outside the website’s primary hosting environment so one failure does not remove both the site and its recovery path.

Choose backup frequency and retention according to how often the site changes and how long a problem might go unnoticed. Then test restoration on a schedule. A successful backup notification does not prove that the organization can recover the site when it matters.

The recovery plan should identify who can authorize a restore, where credentials are kept, how domain settings can be changed, and how the organization will confirm that the restored site is clean.

Add protection and monitoring around WordPress

Layered security can include a reputable host, a web application firewall, malware scanning, traffic filtering, and a content delivery network. These controls serve different purposes; no single product replaces maintenance, access controls, and backups.

Monitor availability so the team learns about an outage before customers do. Security alerts should also reach someone responsible for investigating them. Define the escalation path in advance, including the website provider, internal IT, communications lead, and any other party that owns a connected system.

This ownership matters because website, domain, email, and network security overlap. Decide who manages each area and who is allowed to change shared settings.

Audit and test in proportion to risk

Automated scans can reveal obvious configuration problems, but they only see part of the picture. A fuller review should examine administration, software inventory, permissions, hosting, backups, logs, forms, and integrations.

Higher-risk sites may justify controlled penetration testing. Such testing should be authorized, carefully scoped, and coordinated with the host and operational team because it can place substantial load on the site.

Ask a website provider direct questions:

  • Who installs and verifies updates?
  • How are backups stored and restore tests recorded?
  • Who receives uptime and security alerts?
  • What happens during an incident, and how quickly is it escalated?
  • How can the organization export its site and data if the relationship ends?

WordPress can support organizations of many sizes, but it needs ongoing care. Keep the software inventory small and maintained, protect administrative access, verify off-site backups, monitor the site, and know who will respond when something goes wrong. Security is not a finish line; it is a routine that keeps a useful business asset dependable.
